Transforming kinesiology events

KKSCOTT Business Management, a specialized association management firm, serves organizations in the kinesiology field, including the American Kinesiology Association (AKA) and the North American Society for Sport History (NASSH). These associations focus on advancing kinesiology through education, networking, and advocacy. With a diverse community of university professors, department chairs, and administrators, events play a crucial role in fostering connections and exchanging ideas within the discipline.
Kim and Jaime Scott, the driving forces behind KKSCOTT, oversee the planning and logistics of these events. “We strive to design events that meet the needs of our diverse audience,” Kim explains. “Whether it’s seasoned university administrators or emerging leaders in the field, our goal is to ensure everyone feels included and valued.”

Choosing the ideal platform for seamless experiences

AKA and NASSH needed a platform that could deliver a polished experience for both virtual and hybrid events while accommodating their diverse audiences. After evaluating various platforms, KKSCOTT selected RingCentral Events for its intuitive design and robust features. Kim noted, "We found other options felt clunky and unprofessional. RingCentral offered an intuitive design and features that catered to our complex event needs."
RingCentral quickly became the foundation for the associations’ events, offering tools to create a professional environment that mirrors the quality of in-person gatherings.

Connecting global audiences through virtual and hybrid experiences

AKA and NASSH use RingCentral Events for their annual meetings and webinars, bringing together kinesiology professionals from across the US and internationally. Inclusivity and accessibility are key, with attendees joining from various time zones and languages.
For NASSH, where many presenters participate virtually due to travel constraints, RingCentral Events has been particularly beneficial. "It's incredible to see presenters from different countries join us without the need for travel," Kim explains. This capability allows for a diverse range of expertise from around the world to be shared at their events.
RingCentral’s capabilities also shine in hybrid settings. For example, NASSH manages five simultaneous breakout rooms using RingCentral, streaming live with Meeting Owls—devices that combine a 360-degree camera, microphone, and speaker. This setup ensures both in-person and virtual audiences can participate fully. “The platform gives us the tools we need to make every session interactive and engaging,” Jaime adds.
RingCentral Events allows us to accommodate everyone. Virtual participants feel just as connected as those attending in person. The Q&A and chat features let them engage in real time, making the experience truly inclusive.

Reimagining virtual event experiences

KKSCOTT has creatively utilized RingCentral's features to transform traditional event elements. For virtual poster sessions, they use the platform's booths, allowing participants to upload recorded presentations and engage in live Q&A. "It creates a more focused and engaging environment compared to traditional in-person poster sessions," Kim shares.
To support presenters, KKSCOTT implemented a "green room" process, allowing speakers to test their setups before going live. They also created a virtual help desk to assist attendees, ensuring smooth operations throughout the events. “It’s a simple step that ensures everything runs smoothly and gives presenters confidence,” Jaime shares.

A one-stop shop

RingCentral's registration tools have simplified attendee management for KKSCOTT. The platform enables unique registration links for members and paid access for non-members, making the process efficient and professional. Kim highlights additional time-saving features: “We can copy setups from previous events, saving effort and ensuring consistency. From creating coupon codes to customizing registration options, RingCentral has thought of everything.”
The replay feature is another favorite. “Recordings are available immediately,” Kim says. “Attendees can revisit sessions, and presenters get credit for their work even if they can’t attend in person. It’s an efficient way to share expertise and navigate time zone differences.”
RingCentral Events has simplified our event planning process. It’s a one-stop shop. From registration to analytics to engagement tools, it’s all there. The learning curve is small, and the support team has been wonderful in helping us get up to speed.
