Executive Assistant to CEO / Office Manager

Fast-growing, well-funded telephony software company seeks an Executive Assistant to support the CEO. We are looking for someone who can run the office, handle all of the CEO’s day-to-day administrative matters and develop innovative solutions for a wide variety of business challenges. In this position, standard administrative duties will be supplemented with a high level of involvement in special projects.

In this position, you will:

  • Manage complex executive calendars. You will schedule and plan for meetings, conference calls, and various appointments while always keeping business priorities in mind.

  • Take care of all domestic and international travel needs. You will book flights and prepare point-to-point travel itineraries, including hotel reservations and ground transportation arrangements.

  • Screen and route basic internal and external communications. This includes fielding incoming telephone calls, as well as drafting and distributing memos, general letters, and e-mail communications.

  • Organize, maintain, and update electronic databases and paper files.

  • Primary responsibility for corporate offices, conference rooms, and supplies.

  • Manage cleaning staff.

  • Manage front-desk receptionist.

  • Manage moves, remodels, and hiring of contractors as needed.

  • Provide assistance to the CEO with personal projects (travel, personal business, errands).

  • Provide assistance to other members of the executive staff as time allows.

This multifaceted role is perfect for an experienced Executive Assistant with a solid work history and an unwavering drive to succeed. Superior interpersonal and communication skills will enable you to effectively liaise with all levels of staff while also providing the highest caliber of service to high-profile clients. The ideal candidate will have at least 3-5 years of experience working in a similar role for a chief executive of a technology company and/or a senior partner in a financial institution. Strong computer skills (including proficiency in all MS Office applications) and well-developed written, verbal, and interpersonal communication skills are required. Candidates should also be able to prioritize and meet tight deadlines while demonstrating poise, resourcefulness, and the highest level of professionalism. A college degree is required.
